Golfing Fore Pets Committee
Descriptions
- SPONSORSHIPS: Committee members responsible for making
contact with businesses to ask for various sponsorships of the tournament
itself, holes, beverage cart, contests, etc. Members need to have all
paperwork readily available to give to potential sponsors. Members should
plan to contact each potential sponsor several times to follow up until
sponsorship is attained. At that point the member collects the paperwork,
payment, and a disc with the sponsor’s logo to be used at holes, on flyer,
etc. Make sure the disc works and that all words are spelled correctly.
Inform the GFP board and website manager as soon as a sponsorship is
obtained. The committee member also gets the name and address of the person
to thank for the sponsorship.
- GIFTS/PRIZES/TROPHIES: Committee members are
responsible for gathering items to be used in one of the following manners:
goody-bag fillers, prizes for contest winners, raffle/auction prizes. The
members should plan to contact each business several times and be prepared
to leave the letter of request each time. When asking for prizes mention
what other businesses have donated, or suggest a small prize that the
solicited business could provide. Inform the GFP board and website manager
as soon as a gift/prize is obtained. Once the prize is obtained then the
member needs to get the exact name and address of the person to thank.
- PLAYER RECRUITMENT/RETENTION: Committee members are
responsible for finding golfers for the tournament. Tell potential golfers
that GFP will make a team for them if they don’t know 3 other golfers. Also
tell them that it is a best shot from the team format. Members should give
each potential golfer several registration forms to pass on to other
potential golfers. If possible, the committee members should be present the
day of the tournament to personally greet “their” recruited players. Once
the tournament is done members need to thank the players with phone calls or
personal visits, and then again with a thank you letter. If possible, the
date of the next year’s tournament should be in this thank you letter. As
the golfers leave the tournament they should be given a questionnaire about
the tournament (postage paid already) to mail back to GFP.
- FOOD/BEVERAGES: Committee members are responsible for
asking local food establishments for donations of food and beverages to be
made available to all golfers and volunteers the day of the event. Inform
the GFP board and website manager as soon as a food/beverage donation is
obtained. Members must make sure to get the name and address of the person
to thank for the donation.
- MEDIA/PUBLICITY: Committee members are responsible for
contacting local media outlets (print, radio, television) in a timely manner
to get the tournament publicized. Members should have press packets to give
to all outlets contacted. Members should get the name of a specific person
at each outlet so that they can check in with that same person several times
to make sure the publicity happens. Members must get the name and address of
their contacts in order to thank them after the event.
- WEBSITE/INTERNAL PUBLICATIONS/PRINTNG: Committee
members are responsible for keeping the website current with information
regarding sponsorships, donors, etc. Members are responsible for making sure
printing needs are met in a timely fashion and that the printed material is
distributed to members of other committees.
- STUDENTS/VOLUNTEERS: Members are responsible for
recruiting volunteers or students to act as support to the other committees
and to serve as day of event volunteers.
